Group Database Picture Files

You can associate two picture files for each database entry. If you have multiple database files each with their own picture files it can become confusing as to which picture files are associated with which database file. For instance you may want to email a copy of one of your databases to another person, you would probably like to send any picture files associated with that database file as well, so you need a quick way to find and group the picture files needed with this database. This is exactly what the ‘Group Database Picture Files’ function does.

The picture grouping screen is displayed by clicking on the Search drop-down menu on the Database Search or Pictures screens and selecting ‘Group Database Picture Files’.

The instructions on how to group database picture files are displayed on the Grouping screen. Basically you need to create or use an existing folder to copy all the files associated with the database. Any picture files, wherever they are located on your PC, will be copied to this folder.

NOTE: Only the picture filenames that have been entered into the current database will be copied to the selected folder.

The box on the right hand side of the grouping screen will display any errors during this process. The most common type of error will be filenames entered in the database that do not match the filenames on your PC. This will probably be due to the file being deleted or the filename being changed without updating the database.

To search for any entries that have picture files associated with them, click on the Search drop-down menu on the Database Search screen and select ‘Records With Pictures’.

Any entries in the database with picture files will now be displayed in the search grid.
